Privacy Policy
Which sites this covers:
- organicroots.ai: Organic Roots AI consulting for businesses (contact by email)
- farms.organicroots.ai: Organic Roots Farm Marketing (free sample-week requests by email)
Not covered: our free Ingredient Analyzer at scan.organicroots.ai works differently and has its own separate privacy policy: scan.organicroots.ai/privacy-policy.
This policy explains what information we collect on these two sites, why we collect it, and what choices you have.
The short version: we collect only what we need to reply to your request, we email you beyond that only if you say it's OK, and we never sell your data.
1. What we collect and why
Information you give us on organicroots.ai (consulting). This site has no forms. To reach us, you email hello@organicroots.ai. When you do, we receive your email address, your name if your email includes it, and anything you choose to tell us in your message, such as your business name and what you'd like help with.
We use this to reply to you, arrange a call if you'd like one, and, if you hire us, provide the service.
Information you give us on farms.organicroots.ai (farm marketing). When you request a free sample week by email, we ask for:
- Your name (required)
- Your email address (required)
- Your farm or brand name (required)
- Your website or Instagram/Facebook link (required)
- Type of business (optional): small organic farm, CSA, natural food brand, or other
- Plan of interest (optional): Seedling, Harvest, Full Season, or "not sure yet"
- "What do you sell, and where?" (optional): a short message in your own words
- Whether it's OK to email you about Organic Roots plans (optional). See Section 2.
We use this to create your sample posts and newsletter mockup, tailor them to your business, and reply to you.
Information collected automatically. When you visit, our hosting provider (Cloudflare) receives standard technical information, such as your IP address, browser type, and the page requested, which it needs to deliver the sites and protect them from abuse. Our analytics tool collects aggregate statistics about visits and page performance. See Section 3.
We don't ask for payment information, passwords, or sensitive personal information on these sites.
2. How we use your information
Replying to your request (always). If you email us or request a sample week, we'll use your details to respond to that request. That means replying, arranging or rescheduling a call, sending your sample week, and asking anything we need to finish it.
Other follow-ups and newsletters (only with your OK). We send other follow-ups, such as checking in about our services or occasional updates and newsletters, only if you've told us that's OK, for example by saying so in your email. If you didn't, we'll respond to your request and that's it. If you email us through organicroots.ai, we'll reply and carry on the conversation you started, but we won't add you to newsletters or marketing emails unless you ask.
Unsubscribe anytime. Every follow-up email includes a way to unsubscribe, or you can reply "unsubscribe" or email hello@organicroots.ai. We'll stop sending follow-ups once you opt out. We may still reply if you write to us.
We don't sell or rent your information, and we don't use it for unrelated purposes.
3. Analytics and cookies
Analytics. We use Cloudflare Web Analytics to understand how our sites are used and how quickly they load. It gives us aggregate numbers, such as page views and visits, which pages are viewed, the referring website, the visitor's country, device type, browser, and operating system, and page-load performance timings.
According to Cloudflare, Cloudflare Web Analytics:
- does not use cookies or similar browser storage (like localStorage) for analytics
- does not "fingerprint" visitors using their IP address, browser details, or other attributes
- is not used to identify individual visitors or track them across other websites
- does not record the query string (the part of a web address after "?")
We look at this data only in aggregate. It isn't combined with the information you send us by email. For more on how Cloudflare handles data, see Cloudflare's Privacy Policy.
Cookies. These sites do not set analytics or advertising cookies. Cloudflare may set strictly necessary security cookies, for example when checking for bots. These aren't used for tracking or advertising. You can block or delete cookies in your browser settings, though blocking strictly necessary ones may affect how the site works.
4. Who we share information with
We never sell your personal information. We share it only with service providers that help us run our sites and respond to you, and only as needed:
- Website hosting (both sites): Cloudflare (Cloudflare Pages)
- Email provider: the email services we use to receive, forward, and send email
- Analytics (both sites): Cloudflare Web Analytics, as described in Section 3
These providers may process data in countries other than the one you live in. We may also disclose information if the law requires it, or to protect our rights or others' safety.
5. How long we keep it
We keep emails you send us and sample-week information only for as long as we need it to respond and follow up, unless you become a client. Client records are covered by our service agreement. You can ask us to delete your information sooner (see Section 7).
6. Security
We use established service providers and take reasonable steps to protect your information, such as limiting who can access it. No system is perfectly secure, so we can't guarantee absolute security.
7. Your choices and rights
You can ask us to:
- Access the personal information we hold about you
- Correct anything that's wrong
- Delete your information
- Stop follow-up emails
To make a request, email hello@organicroots.ai. We may need to confirm your identity first, and we'll respond within the time the law requires.
California residents. Depending on your situation, California law (including the CCPA, as amended) may give you rights to know, delete, and correct personal information, and to not be discriminated against for using those rights. We do not sell personal information, and we do not "share" it for cross-context behavioral advertising, as those terms are defined under California law.
Visitors from the EU, UK, or EEA. If data protection laws such as the GDPR apply to you, you may have additional rights, such as objecting to or restricting certain processing, data portability, and complaining to your local data protection authority. Where those laws apply, we rely on your request (to respond to you), your consent (for optional follow-ups), and our legitimate interest in running, securing, and improving our sites, including cookieless aggregate analytics.
8. Children
These sites are for businesses and the people who run them. They aren't directed at children under 13, and we don't knowingly collect their personal information. If you believe a child has sent us information, contact us and we'll delete it.
9. Other websites
Our sites link to each other and to other websites. The Ingredient Analyzer at scan.organicroots.ai is covered by its own privacy policy (scan.organicroots.ai/privacy-policy), not this one, because it uses different tools. We're not responsible for the practices of other companies' websites.
10. Changes to this policy
We may update this policy as our services or tools change. When we do, we'll change the effective date at the top. If a change is significant, we'll make it clear on our sites or let you know by email if we have your address.
